Indexing and repository policies are revised frequently, sometimes several times a year, and no journal anywhere can guarantee permanent inclusion in any third-party database. A platform that accepts bulk deposits today may restrict them tomorrow, and coverage already obtained can be re-scoped or withdrawn by the database itself.
Several major platforms now accept uploads only from the author, not from the journal. On SSRN, ResearchGate, Academia.edu, ORCID, Mendeley, Semantic Scholar author profiles and most institutional repositories, the record has to be created by the researcher from their own verified account. These services treat a deposit as a personal claim of authorship, so a publisher cannot make it for you — and where a journal appears to have done so, the entry is usually attached to the publisher's account rather than credited to yours.
What this means for you: after publication, upload your own paper to the author-controlled platforms you use and keep those profiles current. A research paper that nobody can find is, for all practical purposes, a paper that was never published. You can write a methodologically sound study, survive several rounds of reviewer comments, pay the publication charge and hold a finished PDF in your hands — and still watch it collect zero citations for years, simply because the machinery that carries scholarly work to the people who need it never picked your article up.
That machinery is called indexing and abstracting. It is invisible to most authors, poorly explained in most author guidelines, and yet it determines almost everything that happens to your work after publication day. This guide explains that machinery in full, written for authors publishing in IJRTI (ISSN 2456-3315), a UGC CARE Approved Journal that offers CrossRef/DataCite DOI registration on request for every article — but the principles apply to any journal you may consider.
1. What Indexing and Abstracting Actually Mean
When a journal publishes an article, it does two separate things. The first is obvious: it puts a PDF on a web page. The second is invisible: it sends a structured description of that article — a machine-readable record — to a set of external databases. That structured description is called metadata, and the act of a database accepting it, storing it and making it searchable is called indexing.
Think of it the way a library works. Publishing is putting a book on a shelf. Indexing is writing the catalogue card and filing it under author, title and subject. Without the catalogue card, the book exists but nobody will ever locate it among a million others.
Indexing in practice
An indexing service maintains a searchable record of your article containing, at minimum:
- Title — the exact published title, in the original language and script
- Authors — given and family names, in the correct order, ideally with ORCID identifiers
- Affiliations — the institution each author worked at when the research was conducted
- Journal title, ISSN, volume, issue, page range and publication date
- DOI — the persistent identifier that points to the article's landing page
- Licence — the terms under which the article may be reused, such as CC BY 4.0
Abstracting in practice
An abstracting service goes one level deeper, storing the abstract itself alongside the author keywords and often the full reference list — letting a researcher scanning fifty search results judge relevance from the search page itself, without downloading a single PDF. CrossRef, Google Scholar, OpenAIRE, OpenAlex, ResearchGate, Scilit and Zenodo all hold the abstract as well as the bibliographic record for IJRTI articles. 2. Indexing vs. Abstracting vs. Archiving — Three Words That Are Not Synonyms
Authors routinely use these three terms interchangeably. They describe three genuinely different functions.

A journal can be indexed without being archived, archived without being abstracted, and can register DOIs without being indexed anywhere at all. When you evaluate a journal, ask which of the four it actually does, and verify each independently.
3. Why Indexing Decides the Fate of Your Paper
It determines whether anyone reads you
Almost nobody discovers research by browsing journal websites. They discover it via Google Scholar, a citation chain, a database alert, or a reference in someone else's paper. An unindexed article can only be found by someone who already knows it exists.
It determines whether your citations are counted
Citation counts are computed by machines that parse reference lists and match each reference to a known record. If your article is not in the database, a paper citing you produces no recorded citation.
It determines whether your institution can count it
For faculty in India, research output feeds into API scores for promotion, into NAAC and NBA assessments, and into PhD requirements. A paper with a resolvable CrossRef/DataCite DOI in a UGC CARE Approved Journal survives that scrutiny without argument.
It determines whether your work survives
Websites go down, publishers close, domains lapse. A DOI, backed by CrossRef and supported by an independent archive copy, is designed to outlive all of that.
4. The Journey of a Paper: From Submission to Global Database
Stage 1 — Submission and technical screening
Before any academic assessment: scope fit, formatting, completeness of author details, presence of an abstract and keywords, reference formatting, and a similarity check against the plagiarism database.
Stage 2 — Transparent peer review
The manuscript goes to subject-matter reviewers. Authors are informed at every stage and receive the reviewer comments alongside the editorial decision, rather than a bare accept-or-reject verdict.
Stage 3 — Revision and editorial decision
Authors respond to reviewer comments point by point. Acceptance is recorded with a date, which becomes part of the permanent record.
Stage 4 — Copy-editing, typesetting and proofing
This is the last opportunity to correct an author name spelling, an affiliation, or an ORCID identifier — and it matters more than authors realise, because everything typed here is about to be broadcast to every indexing database simultaneously.
Stage 5 — DOI minting and CrossRef deposit
A structured record — title, authors with ORCIDs, affiliations, abstract, journal title, ISSN, volume, issue, pages, date, licence and full reference list — is deposited to CrossRef. The DOI becomes live and resolvable worldwide, usually within 24 to 72 hours.
Stage 6 — Publication on the journal site
The article goes live with its landing page, full-text PDF and the DOI displayed, carrying embedded citation meta tags that Google Scholar's crawler reads.
Stage 7 — Propagation to aggregators
OpenAIRE, OpenAlex, Scilit and Semantic Scholar harvest CrossRef continuously. Google Scholar crawls the journal site directly. Zenodo holds the preserved deposit.
Stage 8 — Citation accrual
From this point the record is live and citations begin to accumulate, tracked independently by CrossRef Cited-by, Google Scholar and OpenAlex — which is why the three numbers rarely agree exactly.
5. The Eight Databases That Carry IJRTI Content
CrossRef — the identifier registry
A not-for-profit membership organisation that operates the DOI registration system for academic literature. It is the authoritative registry that maps every DOI to a current landing page and holds the canonical metadata record that most other services harvest.
Google Scholar — where readers actually start
The default discovery tool for the overwhelming majority of researchers, students and reviewers worldwide. It crawls journal websites directly, builds author profiles, and computes the h-index and i10-index. IJRTI's impact factor of 10.57 is calculated from Google Scholar citation data.
OpenAIRE — the European open science graph
Aggregates open access research outputs, linking publications to datasets, software and funding streams. It explicitly records open access status, which is why a correctly declared CC BY 4.0 licence matters.

A fully open index of the world's scholarly work, cataloguing works, authors, institutions and citation networks through a free public API with no paywall.
ROAD — the ISSN directory of open access resources
Maintained by the ISSN International Centre under a UNESCO agreement, ROAD records the journal itself, its ISSN and its open access status — the authoritative confirmation that ISSN 2456-3315 is a registered, recognised, open access scholarly resource.
ResearchGate — the researcher network

Scilit — comprehensive abstracting

A general-purpose open repository operated by CERN, providing long-term archiving independent of any individual publisher's survival.
6. Understanding the CrossRef/DataCite DOI
The DOI — Digital Object Identifier — is the most consequential and least understood element of modern scholarly publishing. It is a permanent name for a piece of work, solving the problem that links rot.
The anatomy of a DOI
A DOI has two parts separated by a slash: the prefix (always beginning 10.) identifies the registering organisation; the suffix identifies the individual article. Prefixed with https://doi.org/, the whole string becomes a clickable link that resolves anywhere in the world.
Why a DOI is not just a URL
A URL says where a file currently sits. A DOI says which work this is, and the resolution service looks up where that work currently sits. If the publisher redesigns the site or changes domain, the DOI does not break — the registry target is simply updated.

7. Metadata: The Fuel That Powers Indexing
Every service described above depends on the same thing: the quality of the metadata record. Rich, accurate metadata gets indexed cleanly and surfaced often; sparse or wrong metadata produces duplicate records and unattributed papers.

The author-name problem deserves its own mention: if you publish as "R. Kumar" in one paper and "Rajesh Kumar" in the next, indexing systems create separate author entities, splitting your citations and understating your h-index. The fix costs fifteen minutes and lasts a career: register an ORCID iD at orcid.org, use exactly the same name form on every submission, and supply the ORCID with every manuscript.
8. How to Make Your Paper More Discoverable
Indexing is the publisher's job. Being found within the index is substantially yours.
- Write a title someone would type — include the method, domain and application; avoid rhetorical questions and undefined acronyms.
- Write an abstract that stands alone — cover the problem, method, findings (with numbers) and meaning in 200–300 words; front-load key terms into the first two sentences.
- Choose keywords that discriminate — five to eight terms a specialist would use that a generalist would not; do not simply repeat the title.
- Reference completely — every correctly formatted, DOI-included reference strengthens the citation graph around your paper.
- Claim your record after publication — add the DOI to your Google Scholar profile, ORCID record and ResearchGate within the first week.

10. How Indexing Relates to UGC CARE
UGC CARE is a national quality reference list
Maintained by the University Grants Commission of India, UGC CARE is a reference list of journals accepted for academic evaluation. It operates at journal level and determines whether your paper counts for API scores, PhD requirements and institutional assessment in India.
Indexing is a discoverability infrastructure
Indexing is not a quality judgement or a national framework — it is plumbing. A database indexes an article because the metadata was deposited correctly. Indexing determines who finds your paper; UGC CARE determines whether your institution counts it. You need both, earned in completely different ways.

12. Citation Tracking, Impact Factor and h-index
Three independent systems track citations, and they will not agree with each other: CrossRef Cited-by (precise but incomplete), Google Scholar (broadest, highest count), and OpenAlex (positioned between the two).

13. Digital Preservation and Permanence
Studies of reference lists have repeatedly found that a substantial proportion of cited URLs stop working within a few years of publication. Every dead link is a piece of the scholarly record quietly detaching itself.
Three layers of defence
- Persistent identifiers — the CrossRef/DataCite DOI decouples the citation from the location.
- Independent archiving — a preserved copy in Zenodo, operated by CERN, survives independently of the publisher's own infrastructure.
- Distributed copies — institutional repositories, author-held copies and reference-manager libraries collectively make total loss unlikely.
What authors should do: keep the final PDF in at least two places you control, deposit in your institutional repository, record the DOI in your ORCID profile, and cite by DOI in your own reference lists.
14. How to Verify Your Own Indexing Status
Do not take anyone's word for it, including the journal's. Every claim is independently checkable in about ten minutes.
- Test that the DOI resolves — paste
https://doi.org/plus your DOI into a browser. It must land on your article's page. - Check the CrossRef record at search.crossref.org — confirm title, authors, affiliations, ISSN, dates and licence are all correct.
- Search Google Scholar for your exact title in quotation marks; if missing after six weeks, add it manually to your profile.
- Check the aggregators — search your DOI or title on openalex.org, scilit.com and explore.openaire.eu.
- Verify journal-level records at portal.issn.org, road.issn.org and the UGC CARE portal.
- Connect your identity — add the DOI to ORCID, claim the article on ResearchGate, confirm it on Google Scholar.
15. Twelve Myths About Journal Indexing
Myth 1: "Indexed" means the same thing everywhere. It does not — ask which specific databases, and check each one.
Myth 2: Having an ISSN means the journal is indexed. An ISSN is a serial number; it is a prerequisite for legitimacy, not evidence of indexing.
Myth 3: A DOI proves the journal is reputable. A DOI proves the publisher is a CrossRef member who deposits metadata — a positive signal, but not a quality judgement on individual articles.
Myth 4: Scopus indexing and UGC CARE listing are the same thing. They are separate frameworks with separate governance. Verify each independently.
Myth 5: A high impact factor means the journal is UGC CARE approved. There is no relationship — impact factor is a citation statistic; UGC CARE listing is a national recognition decision.
Myth 6: Once indexed, always indexed. Databases review coverage and remove journals that stop meeting criteria; always check current status before submitting.
Myth 7: Indexing is instant. DOI registration is fast; database propagation takes weeks. This is normal pipeline latency, not a failure.
Myth 8: The publisher controls Google Scholar. Nobody does — publishers can only ensure correct meta tags and a crawlable page.
Myth 9: Open access journals are indexed less. The opposite is generally true — open content is easier to crawl and is explicitly prioritised by open science aggregators.
Myth 10: More databases is always better. A long list of obscure "indexes" nobody searches is worth less than a short list researchers in your field actually use.
Myth 11: Indexing guarantees citations. Indexing makes citation possible; it doesn't make it happen — the paper still has to be relevant and useful to someone.
Myth 12: Metadata errors can be fixed later without cost. They can be corrected, but the corrected record has to propagate outward again, and duplicate records may persist downstream. Fix it at proof stage.

Determine the focus, subject area and goals of the journal, and identify the audience and authors you want to attract. A narrow, clearly stated scope attracts better submissions than a broad one.
Recruit editors, associate editors and reviewers who are genuine experts in the field, and define each role and its responsibilities in writing before you open for submissions.
Write your guidelines for manuscript submission, peer review and publication ethics. Set the publication frequency and submission deadlines, and publish them where authors can find them.

A Digital Object Identifier is a permanent, resolvable link to an article. It is what keeps a paper citable after a site is redesigned or a URL changes, and it is the record the automated aggregators follow — which makes DOI registration the single step that most affects whether the work is found later.
Register through CrossRef, the usual choice in academic publishing, or DataCite. Both charge an annual membership plus a small per-item fee, and both expect complete metadata with every deposit. Choose a registration route that integrates with your publishing software, or the deposits become manual work that quietly stops getting done.

What It Actually Costs to Run
Most guides stop at “register an ISSN and install OJS”. The recurring costs are what decide whether a journal survives its third year, so they are worth seeing before you commit. Figures below are indicative annual ranges for a small journal publishing monthly.

The part nobody puts in the guide
Indexing is not something you apply for on day one. Scopus, Web of Science and DOAJ all want to see a publication history before they will assess you — typically two to three years of consistent, on-schedule issues with real peer review behind them. A journal that publishes irregularly, or misses issues, restarts that clock.
That is the genuine barrier. Registering an ISSN takes weeks; building the record that makes a journal worth indexing takes years, and it cannot be shortcut by paying anyone. Any service promising immediate Scopus indexing for a new journal is selling something that does not exist.
Common Mistakes That Sink New Journals
- Publishing irregularly. Indexers check whether stated frequency matches reality. A missed issue undoes months of consistency.
- An editorial board in name only. Listing people who never review is discovered quickly and is treated as misrepresentation.
- Accepting everything. A journal with no rejection rate has no standing, and reviewers stop agreeing to work for it.
- No archiving plan. If your site goes down, the record goes with it — and indexers ask about this explicitly.
- Hidden or shifting fees. Charging after acceptance without prior disclosure is the single clearest predatory marker.
- Skipping plagiarism screening. One recycled paper in an early issue can end a new journal's reputation before it has one.
- No published policies. Peer review, ethics, retraction and copyright all need to be written down before the first submission arrives.
